A drawing register should answer a practical question: which file should we use for this decision? A folder full of filenames such as final, final-new and final-approved cannot answer it reliably. A small, maintained register is often more useful than an elaborate one nobody updates.
Separate identity from revision
Give each drawing a stable identity, such as a sheet number and title, then record its revision independently. This makes it possible to follow the same drawing through changes without treating every export as a new document. Include floor or zone where needed. If the source does not provide a formal revision, record the file date and describe that limitation rather than inventing an approval status.
Record the minimum useful fields
A workable register includes drawing ID, title, revision, issue date, received date, file location and current review purpose. Add a short status such as current for concept review or superseded. These labels should describe what the team is doing, not imply professional certification. Keep the register close to the files and make its owner clear. A register becomes unreliable when updates depend on someone noticing a folder change.
Connect changes to decisions
When a new revision arrives, identify which room dimensions, model elements or estimates may be affected. Do not simply replace the attachment and continue. Note the changed assumptions, assign a review task and keep the previous reference available where appropriate. A small room adjustment can affect several quantities, so the change record should connect the drawing revision to the model and estimate versions used in a decision.
Use a deliberate handoff
Before sharing a project package, include the register and clearly state which drawings were used. Reviewers should not have to infer currency from file timestamps. TranslateDesign's local preview lists attachments and keeps review notes, but it is not a synchronized document-control system. For multi-person work, maintain an agreed shared source of truth outside the local preview until authenticated shared storage is available.
- Avoid ambiguous filenames as the only revision system.
- Record the purpose and limits of each review status.
- Recheck affected geometry when a source drawing changes.
- List superseded documents separately from current references.
